Emburse Pay Home Page

The Emburse Pay Home page is the central workspace where Accounts Payable users review invoices, take payment actions, and track payment activity. From this page, you can see what is due, initiate payments, manage exceptions, and review payment history.

This page is available to organizations using Emburse Enterprise Invoice or Certify AP. Access to Emburse Pay requires a specific permission in Emburse Enterprise.

Requirements to Access

  • Your organization uses Emburse Enterprise Invoice or Certify AP.
  • Your user profile has the appropriate permissions assigned:
    • Emburse Enterprise: Invoice B2B Dashboard Enabled
    • Certify AP: Accounting Review Permission
  • Vendors and invoices already exist in your invoice system and are synced to Emburse Pay.

Emburse Pay Home Page

UI elementDescription
Due TodayDisplays the total value of invoices due today, grouped by currency.
Ready for PaymentShows the total value of invoices that are eligible to be paid, grouped by currency. 
Submitted for PaymentShows the total value of invoices that have already been submitted for payment processing.
Invoices & Payments sectionMain working area for managing invoices and payments.
Ready to Pay tab

Lists invoices that are eligible for payment. If an invoice does not appear here, confirm that:

  • The invoice is approved and exported.
  • The vendor has a payment method selected.
  • The invoice is not on hold.
On Hold tabLists invoices that are currently on hold and cannot be paid until released.
Pending Payment tabLists invoices that have been submitted and are in progress.
History tabLists completed and past payments as well as payments made Offline or Failed payments. 
SearchFilters invoices by vendor name or invoice details.
Export Date filterFilters invoices by export date. Default values: Today, Last ten days, Last thirty days, Custom.
Due Date filterFilters invoices by invoice due date. Default values: Overdue, Today, Ten days, Thirty days, Custom.
ResetClears all applied filters.
Pay SelectedSubmits selected invoices for payment when multiple checkboxes are selected.
Mark as Paid OfflineWhen an invoice is selected, marks the invoice as paid outside of Emburse Pay.
Hold PaymentWhen an invoice is selected, places the selected invoices on hold.
ExportDownloads invoice data for reporting or reconciliation.
Pay buttonInitiates payment for a single invoice.
More actions buttonOpens additional actions for an invoice, such as Mark as Paid Offline and Hold Payment.

What You Can Do on the Emburse Pay Home Page 

The Home page supports all day-to-day payment activities. Each process below starts from the Home page unless stated otherwise.

Use Emburse Pay to Pay a Vendor

Use this process to submit one or more eligible invoices for payment. Payments are initiated from the Ready to Pay tab and move through the payment lifecycle once confirmed.

  1. Go to Emburse Pay and select Home.
  2. Confirm you are on the Ready to Pay tab.
  3. Select Pay on a single invoice or use the checkboxes to select multiple. If selecting multiple, choose Pay Selected.
  4. Review the payment details and select a funding account if one is not already assigned.
  5. Select CONFIRM.

The invoices move to Pending Payment once submitted.

Manage Returned Invoices

Returned invoices require review and correction before they can be paid. This process helps you identify why an invoice failed and what actions are needed to make it eligible again.

  1. Go to Emburse Pay and select Home.

  2. Locate returned invoices on the Ready to Pay tab — returned invoices display a red indicator on the Pay button.

  3. On the History tab, open More actions > Payment details for the payment you want to inspect.

  4. Review the invoice and payment details to understand why the invoice was returned.

  5. Take the required corrective action in your invoice system. 

Once updated and re-synced, the invoice becomes eligible for payment.

Export Invoices

Use exports to generate invoice or payment data for reporting, reconciliation, or audit purposes. Exports reflect the filters and criteria you select at the time of download. Export options differ depending on whether you are in the READY TO PAY, ON HOLD, PENDING PAYMENT or HISTORY tab.

  1. Go to Emburse Pay and select Home.

  1. Select Export.

  2. In the Export Payments dialog, select one or more Payment Status options:

    • Completed

    • Failed

    • Expired

    • Cancelled

These export options are only applicable to the PENDING PAYMENT and HISTORY tabs. The export option in each tab shows different parameters.

  1. Select one or more Payment Method options:

    • Bank transfer

    • Credit card

    • Check

    • Offline

  2. (Optional) Select a Payment Creation Date Start.

  3. (Optional) Select a Payment Creation Date End.

  4. Select Export.

The system downloads a file containing invoices that match your filters.

 

Cancel a Payment

Use this procedure to cancel a payment in Emburse Pay that is still pending or processing. You can only cancel payments that have not completed.

  1. Go to Emburse Pay and select Home.

  2. Select the Pending Payment tab.

  3. Locate the payment you want to cancel. Use Search or the table filters, if needed.
  4. On the payment row, open the More actions menu.
  5. Select Cancel Payment.
  6. In the confirmation dialog, review the payment details and select CONFIRM. To exit without canceling, select CLOSE.

Canceled payments return to an eligible state based on system rules.

Release On-Hold Invoices

Invoices placed on hold must be released before they can be paid. Releasing an invoice returns it to the Ready to Pay state without submitting it for payment.

  1. Go to Emburse Pay and select Home.

  2. Select the On Hold tab.

  3. Select one or more invoices.
  4. Select Release.

The released invoices move back to the Ready to Pay tab.

View Payment Details

Payment details provide a read-only view of an individual payment, including status, amounts, payment method, and processing information. Use this view to investigate issues or confirm payment outcomes.

  1. Go to Emburse Pay and select Home.
  2. Locate the invoice or payment you want to review.
  3. Select the invoice number or open More actions.
  4. Select View Payment Details.

View Payment History

The History tab shows the final outcome of all payments, including completed, failed, canceled, expired, and offline payments. This view serves as the system of record for reconciliation and audit review.

  1. Go to Emburse Pay and select Home.

  3. (Optional) Refine the list:
    • Use Search to find payments by vendor or invoice number.
    • Use the Payment Method filter to narrow results (for example, Credit card, Check, Offline).
    • Select Reset to clear filters.
  4. To view details for a specific payment, open the More actions menu and select Payment Details.

When you select Payment Details, a dialog displays the following information:

  • Payment status
  • Vendor and invoice information
  • Invoice amount and payment amount
  • Discount information, if applicable
  • Processing information, including:
    • Processed date
    • Payment method (for example, Check or Credit card)
    • Payer name, if available

Use this view to confirm outcomes, investigate failures, or capture information for reconciliation.
